Lesson 89 — Here's the Short Version

2. Main Conversation

A short version changes length and order, not evidence strength

Robin, a communications coordinator, has listened to a four-minute technical briefing from Keira, the library archivist. They prepare a 90-second update for front-desk volunteers.

Part A — Deciding what the audience needs

Robin: I have twelve notes from the briefing, but the volunteers only have ninety seconds before the desk opens. Here’s the short version: the catalog is moving to a new system next month.

Keira: That is too definite. The library is preparing a test migration next month. A full move has not been approved.

Robin: Good catch. The main point is that a batch of three hundred public records will be copied into a test system during the week beginning May twelfth.

Keira: Yes. The old catalog will remain available in read-only mode, so visitors can still search it while the test is checked.

Robin: The part that matters for front-desk volunteers is what visitors will see. They may be invited to try a separate test search, but normal access will continue through the old catalog.

Keira: Also say that no original images or descriptions are being deleted. Copying records for a test is not the same as replacing the source archive.

Robin: In practical terms, volunteers should use the old catalog for service requests and give the test link only to visitors who choose to provide search feedback.

Keira: Correct. Feedback is optional and should concern search results, not personal account details.

Robin: Do they need the names of all seven mapped fields and the three checksum stages?

Keira: No. Those details explain how the team will test accuracy, but volunteers only need to know that the sample will be checked before any wider decision.

Part B — Protecting what remains open

Robin: I’ve left out the vendor history, the export file names and the rejected color schemes. None changes what volunteers do next month.

Keira: That is sensible. Keep the number of records, the test week, the read-only source, the optional feedback and the fact that full migration is undecided.

Robin: What about the twelve hundred restricted records?

Keira: Mention that they are outside this test. Do not say they failed or were excluded permanently; their access rules need a separate review.

Robin: Then the short version shouldn’t change “not included in this batch” to “will never be moved.”

Keira: Exactly. It also should not say the new search is faster. The test will measure search accuracy and response time; we do not have results yet.

Robin: Let me try the full ninety seconds: three hundred public records, one test week, old search still available, optional feedback, restricted records outside scope and no full-migration decision.

Keira: Add who to contact if a visitor sees a wrong date or missing creator name: send the item number to the archive desk rather than editing anything at the front desk.

Robin: So one action line, one open issue and no technical tour. That is much clearer than reading my twelve notes in order.

Keira: Yes. A useful summary follows the listener’s task, but every sentence must still be traceable to the longer briefing.

翻译提示:Here's the short version 不是随意简化;可以删去不影响听众行动的细节,却不能把“测试”说成“迁移”、把“未知”说成“确定”。

Don’t Say It That Way

6. Grammar in the Scene — Summarising and Paraphrase

1. 用上位词压缩同类细节

export file names, vendor history, rejected color schemes可概括为technical and design background,前提是这些差异不影响听众任务。

2. 动词状态必须保留

  • is preparing:正在准备;
  • will be tested:计划测试;
  • has not been approved:尚未批准;
  • is expected:预计,不是保证。

摘要若把它们统一改成will,就改变了证据和决策状态。

3. 主动重组,不按来源顺序抄写

来源按“技术过程”讲;志愿者版可以按change → continuity → action → unknown重排。重排不是篡改,只要每项可追溯且关系不变。

4. 列表并列要保持语法一致

I’d be careful about saying visitors prefer the new system when no visitor preference was collected.
